HMCNH Using Zapier to Manage Bookings

 

In late January, the integration with Zapier was launched, and the feedback from Less Annoying CRM (LACRM) users has been overwhelmingly positive. Many have shared how this integration has helped automate their workflows and streamline daily tasks.

One of the standout examples comes from Elias Ashooh, a LACRM user at HMCNH. HMCNH stands for Health Market Connect, which is part of the New Hampshire Community Navigator Program.   Elias has been leveraging Zapier to automate his appointment booking process, significantly reducing time spent on manual data entry and improving the efficiency of his team. Here’s a look at how Zapier has transformed their booking management.

Managing Bookings Before Zapier:

Before using Zapier, Elias and his team were using OnceHub, an interactive meeting scheduling tool, alongside LACRM to track contacts booking appointments. Each time a booking was made, they would receive an email from OnceHub containing the contact’s details. They then had to manually copy this information into LACRM, creating a contact for each new appointment.

  • Excessive time spent on repetitive, manual data entry
  • An increased risk of errors due to the reliance on copying and pasting
  • The team had to stay vigilant about incoming notification emails to avoid missing a contact

Managing Bookings After Zapier:

Celebrating the Chiefs’ 2023 Super Bowl win or Zapier? The line between the two became blurry for Elias!

Thanks to the integration of both LACRM and OnceHub with Zapier (and the over 5000 apps that Zapier connects with), Elias was able to set up a seamless automation between the two systems.

He created a workflow in Zapier that automatically:

  1. Detects when a booking is scheduled in OnceHub
  2. Searches for the contact in LACRM by their email address
  3. If no matching contact is found, it creates a new contact with the booking details
  4. Adds a note in the contact’s profile with all relevant information from the OnceHub booking

Now, each time a client or prospect books a meeting with Elias, LACRM is automatically updated with all the details from that booking, eliminating the need for manual data entry or sifting through emails.

  • Enhanced data reliability, as there’s no risk of missing or misentering contact details
  • More time focused on providing value to clients instead of handling administrative tasks

  • Trigger: Booking Scheduled in OnceHub
  • Action: Utilities in Formatter by Zapier using a Lookup Table for users’ names and User Ids
  • Action: Date/Time in Formatter by Zapier to clean up date fields
  • Action: Find Contact in LACRM (search contact list by Email Address, then use step 2 to assign a user)
  • Action: Create Contact Note in LACRM (add a note in the found contact profile with OnceHub booking details)
